Interesting Shortcuts and features
Have you ever asked yourself any of the questions below when using First
Resort? The software has some interesting shortcuts and features that
can make your job easier. You may already know some of these, but we
hope you’ll learn something new.
“I’m running my occupied properties report and forgot what today’s date
is!”
“Got the date in, but I can’t remember what I’m supposed to put in all
those fields.”

You can set up screen defaults, which allow the information you want
in the report fields to appear every time you access that screen.
First hit Ctrl F5, then set up the report fields how you want them
to appear, hit F10 and then choose user level. This is especially
helpful for reports and the availability search at R-C.
“Now I viewed the report, but I really wanted to print it.”

When the report is viewed on your screen, just hit the “P” key and
you will be prompted to print it. Please note that you can only view
about 35 pages of any report so if the report is longer, you will
either need to print it or send it to file.
“What do you mean….send to file?”

Any report in the software can be exported to a file. Instead of
hitting P to print or V to view, enter “F” to send to file. Save it
with an extension of .txt (i.e. arrivals.txt). This will save in
your accounts folder, where your First Resort data is located.
However, you can save the file to a different directory. If you want
to save it into the FRS folder on your C: drive, at the prompt for
the file name enter: “C:\FRS\arrivals.txt”. You can then open the
file in another program, such as Word or Excel.
“I’d love to have a list of my guest’s e-mail addresses, but I don’t
see a report for that.”
“Great. If only we didn’t have to go to O-E each time to enter an
e-mail addresses.”

By setting up a custom reservation screen, we can add a field for
e-mail address on the face of the folio. This usually means that
another field, such as Address 3, must be removed in order to make
room for the new field.
“This new e-mail field is great, but it’s so hard to hit enter over and
over to get to the deposits in box 7!”
